(accounting) Report to view payments on SE; import into Quickbooks

For accounting reasons, we need a better way to review payments made on SportsEngine.  We’re using QuickBooks as our accounting software (common) and we need a way to export info from SE so we can import it into QB.  Currently  we run the Payout report to verify the bank deposits and we run the transaction report to get the payment detail, ie who paid, what they paid for and the amount they paid. Now we need a report that combines this information. And, we need to be able to import that into QB.

We've tried sorting the transaction report by payout date, but the amounts don’t always match the amounts actually deposited into our account.

We are a small organization and if we need this, we assume that larger organization need this and more!

    We have developed a Windows application that can import the SportEngine files into Quickbooks desktop. It is going through full testing and could be available soon.

    The app uses the sales and transaction exports from SportEngine and performs these tasks in QB with an automated process:

    • Create customers from the SportEngine Sales file if they don't exist

    • Creates a user defined cross-reference list for QB sales items to SE Registration Names

    • Create an invoice from the SportEngine Sale file using the Order Number

    • Receive payments for the orders using the SE account name

    • Makes deposits to bank accounts

    We have tested this within our own organization and it has reduced the amount of bookwork by by 90%+.
